SUMMARY

The Label Coordinator launches and coordinates the electronic copy-editing process for new and existing printed retail packaging for over 1500 product SKUs, ensuring that all required information is included, correct, and that deadlines are met. A key area of responsibility is accurately proofing copy content to align with FDA-required formatting, legal verbiage, and formatting requirements. The Label Coordinator proofreads, visually inspects, and approves printed packaging before it is released to production. The person in this position also maintains a sample retains library, ensures accurate records of label changes are kept for system updates, and compiles label-related reports. In addition to archiving tasks in the electronic label routing platform and making system updates, the Label Coordinator is also a subject matter expert and a key “go-to” on the Lytho routing review/editing process and correct usage, punctuation, and grammar in the English language.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: [Additional duties may be assigned.]
  • Launches Domestic, Nature’s Way-Canada and International projects into the Lytho Electronic Label Routing Platform for new product printed packaging, changes to existing product packaging, and label mock-ups.
  • Reviews/Edits proofs via the multiple tier Lytho tool: monitor proofs for accuracy of content to maintain consistency of label copy on domestic labeling to align with FDA standards and regulatory compliance relative to the Dietary Supplement Code of Federal Regulations (CFR). Maintain solid working relationships with Regulatory / Legal and Marketing, working closely with them to ensure absolute label correctness. Work with the NW Canada and International Regulatory Teams for compliance with their country-specific regulatory requirements.  Verify formula-to-label accuracy using the LDS [Label Data Set] and overall label logic, questioning key stake holders on any packaging text/design discrepancies that appear erroneous or inconsistent with like packaging. Note changes that need to be made on each label version as per the supporting documentation attached to the project and reference files you help to maintain with pertinent label-review data.  Maintain daily oversight over the entire review/approval process to ensure all edits requested by reviewers are incorporated and tie out any subsequent guidance received during the review process. Ensure that all necessary final approvals are obtained from the required stakeholders in various departments so that deadlines are met to avoid out-of-stocks.
  • Archiving and Final Steps: after printed packaging routing is approved/completed in Lytho, the Label Coordinator performs “final steps,” which include archiving Lytho job, linking PDFs in PLM, and entering primary packaging changes in appropriate systems.
  • Proof printed material upon receipt of packaging shipment using Digital Proof System: scan new or revised label/carton, etc., material and inspect against approved master for print accuracy and quality, determining whether to accept or reject the shipment, and issue Non-Conformance Reports [NCR] for print vendor awareness of print issues.  If new print is acceptable, file samples, approve GR Slip and submit to the QA Release Technicians.  Maintain good working relationships with Purchasing, interfacing with them on rejections and obtaining printed packaging samples from external suppliers.
Miscellaneous:
  • Maintain various product listings (e.g., Dietary Supplement Label Database and Online Wellness Library) as needed, for new and updated product labels
  • Compile information/reports as assigned.
  • Keep excellent records, including from emails, pertinent to all labeling elements
  • Train new associates on the Lytho electronic routing platform and general label routing process
EDUCATION and/or EXPERIENCE
High school education, and at least two years working in a team business office environment with similar/related experience in the labeling industry, printing business, or electronic prepress art house. Experience as an Administrative Assistant in any industry is also acceptable. Proficiency in the English language is a must: reading, writing, grammar, spelling, punctuation, and the ability to write concisely and with absolute clarity.

OTHER SKILLS AND ABILITIES
  • Patience and diligence to ensure that all guidance and information provided in a label routing is appropriately addressed and “tied out”
  • Exceptional proofreading skills in the English language is necessary
  • Exceptional attention to detail and high level of accuracy, and strong propensity toward accuracy
  • The ability to ask numerous questions comfortably, and the desire to ensure absolute correctness
  • High level of visual acuity for detecting errors and print variances
  • Ability to be a self-starter and work independently with minimal supervision
  • Ability to manage multiple tasks in a fast-paced environment, and prioritize when time-sensitive situations arise
  • Ability and willingness to work harmoniously with others in a close team environment and with those in other departments throughout the company
  • Ability to hold key players in label routing process accountable
  • Solid typing and computer skills with the Microsoft Office Suite (Outlook, Word, Excel, Teams, Power Point) with the ability to learn new electronic systems. (The successful candidate will also be learning the Lytho Electronic Label Routing Platform, Salsify, SAP, and PLM.)
  • Ability to operate standard office equipment i.e., telephone headset, copy machine, scan documents, operate a calculator, and use alpha and numeric filing systems
  • Understanding of and/or experience with FDA regulations/restrictions
  • Knowledge of the Lytho Electronic Label Routing Platform, Salsify, SAP, and/or PLM

LANGUAGE SKILLS
•  Excellent ability to speak, read, write, and comprehend English.
•  Excellent verbal and written communication skills in the English language.
•  Excellent spelling and grammar skills in the English language required.

MATHEMATICAL SKILLS
Ability to apply and work with math concepts such as addition, subtraction, multiplication, division fractions, percentages, ratios, and proportions to practical situations.
